Moving Mountains for Mimi

An Immersive Book Club Experience — Terms & Conditions

Experience Formats

Choose three approximately 90-minute in-person sessions or one half-day, workshop-style in-person event, led by author Candace Madison.

The half-day format is well suited for events outside Dallas, TX, that require Candace to travel to the host location. Both formats have the same facilitation fee and participant materials pricing.

Investment and Participant Materials

  • Facilitation fee: $1,500

  • Minimum purchase of 20 author-signed memoir and companion journal sets at $55 each: $1,100

  • Minimum total investment: $2,600

  • 50% booking deposit: $1,300

  • Additional sets beyond the initial 20: $45 per set

Unused sets remain with the purchasing organization and may be used as gifts or donations.

Booking and Payment

A 50% booking deposit is required upon acceptance of the proposal and execution of the service agreement. The deposit reserves the event dates, supports program planning and customized materials, and is applied toward the total contracted investment.

Remaining payment terms will be outlined in the service agreement. Invoices are due within 14 calendar days unless otherwise agreed in writing.

Scheduling and Changes

Dates, times, location, and deliverables must be confirmed in writing. Rescheduling requires mutual written agreement and is subject to facilitator availability.

Changes to scope, session length, participant volume, travel, or deliverables require written approval, including any related fees.

Cancellation

If the client cancels fewer than 7 business days before the first session or half-day event, the 50% booking deposit is nonrefundable, and the client remains responsible for approved, nonrecoverable materials costs.

If the client cancels after the series begins, completed sessions and committed, nonrecoverable materials remain payable. Any remaining unperformed services will be addressed in writing.

Facilitator Cancellation and Unforeseen Circumstances

If Candace Madison cannot facilitate because of illness or circumstances beyond reasonable control, mutually acceptable replacement dates will be sought first.

If replacement dates cannot be arranged, fees for undelivered services will be refunded, excluding completed work and delivered materials.

Neither party is responsible for delays caused by events beyond its reasonable control.

Travel and Accommodations

For events requiring travel outside Dallas, TX, the hosting organization is responsible for meals, airfare where applicable, and hotel accommodations for one night in most cases.

Travel arrangements, associated costs, and any additional lodging needs will be confirmed in writing before booking. Travel, lodging, mileage, and other approved travel expenses are separate from the facilitation fee and participant materials.

Host Responsibilities

The hosting organization is responsible for providing:

  • A suitable, accessible meeting space and reasonable audiovisual equipment.

  • Participant registration, communications, and event promotion.

  • A designated organizational contact.

  • Timely confirmation of attendance and materials quantities.

  • Advance notice of accessibility and safety requirements.

  • Refreshments, if offered.

Empower2Care does not guarantee minimum attendance. The host remains responsible for participant care, supervision, and facility operations.

Intellectual Property and Recording

Empower2Care and the facilitator retain all rights to the memoir, companion journal, presentation content, reflection prompts, and related materials.

Purchased materials are for individual participant use only. Reproduction, resale, redistribution, recording, livestreaming, or publication of session content requires prior written permission.

Photographs, testimonials, or publicity identifying participants require applicable permissions and host coordination.

Participant Privacy and Professional Boundaries

Participation in personal sharing is voluntary. Confidentiality among attendees cannot be guaranteed.

Sessions provide education and facilitated reflection, rather than medical, psychological, legal, or individualized clinical advice. Identifiable personal or health information should only be shared when necessary and authorized.

Agreement and Written Changes

Candace Madison serves as an independent contractor. Use of either party’s logos or trademarks requires approval, except as agreed for event promotion.

The signed service agreement and any referenced proposal or addendum establish the contracted scope. Amendments must be accepted in writing by both parties. Electronic signatures are acceptable.

The agreement is governed by Texas law.
