2024 Summit Vendor Agreement

SECTION 1: GENERAL

OVERVIEW

The Association for Professional Trichologists (APT) is a 501(c)(6) non-profit organization that was established in 2023 to elevate the practice of trichology by creating standards of care, providing evidence-based education, and offering credentialing to create a respected profession that is rooted in accepted practices and procedures.  We strive to further the interests and recognition of trichologists by promoting industry research, disseminating scientific information, connecting the public with qualified trichologists, fostering research collaborations, supporting trichology businesses, and enhancing professional ties with dermatologists. Educational programs provided by APT fall under webinars, forums, summits, and meetings and will be the focus of this agreement.


SECTION 2: RULES & REGULATIONS

  1. The event shall be governed by the rules and regulations issued by APT.

  2. APT reserves the right to change the venue or date if we find a better option to accommodate our growing audience. If this is done, APT must make all sponsors and vendors aware of the change no later than August 31, 2024. If changes are made to the date or venue and you are unable to exhibit due to the change, then you will be given a full refund of your money spent on vendor purchases. All refunds requests must be in by August 31, 2024, if it is because of the change in venue or date. Personal cancellations must be done prior to September 6, 2024. More information is listed below.

  3. The event is limited to those persons, firms and corporations, which have contracted and paid for vendor space in the event facility. Booth sharing is strictly prohibited.

  4. No vendor may assign its contract for vendor space or permit any other persons to use any part of such space.

  5. Each vendor must make provisions for the safekeeping of its goods from the time they are placed in the vendors’ booth until the time they are removed.

  6. The vendor shall not, without written consent of APT dismantle its exhibit nor do any packaging prior to the official closing time of the event.

  7. Vendors shall assume responsibility for damages they make to the event facility and property.

  8. All vendors are responsible for the décor, banners & decoration of your vendor table.

  9. Vendor set up will be allowed at least 2 hour prior to the summit and all items must be packed and promptly put away at the conclusion of the event.

  10. Vendors are responsible for discarding all trash and boxes in appropriate areas.

  11. Vendors are not allowed to have outside food and drink during the event per the rules of the Embassy Suites. Resulting fines for incompliance will be paid by the Vendor.

  12. The use of loudspeakers, amplifiers and/or loud music which interferes with another exhibitor shall Not Be Permitted.

SECTION 3: CANCELLATION POLICY

Vendors/sponsors canceling prior to September 6, 2024, will only receive 50% of fees paid. Vendors canceling after September 13, 2024 will forfeit 100% of the vendor/sponsor fee. In the event of Covid-19 and cancellations because of it, all vending/sponsorship purchases will be moved to the next event and will not be refunded as APT will not receive any refunds from the venue.


Cancellation of vendor space must be directed in writing to [email protected]. Refunds or deposits will be made at the discretion of the Program and Education committee. There will be no refund of payments or deposits for cancellations made after September 13, 2024. Any refunds that are rightfully due & have proper cancellation notice will be given within 30 days after summit date has passed.


SECTION 4: FAILURE TO EXHIBIT

In the event that the vendor fails to exhibit in the space allocated to him/her on opening day, APT may make such use of said space, as it sees fit, without any liability whatsoever to the vendor who shall remain liable for the payment of the total vending price due under contract and without refund.

SECTION 5: NONOBSERVANCE OF GUIDELINES

Transgressions of any of the above will subject the vendor to a suspension of vending privileges at any APT event. The APT Executive Board will determine the expiry date of the suspension, which may last one (1) year or more.

I have read the Vendor Guidelines & Agreement, I understand its contents, and I voluntarily agree to abide by its terms and conditions. APT will provide vendors the following:

  1. One 6-foot covered table with 2 chairs to share products and services that are applicable to trichologists and/or other present key stakeholders, and

  2. Reduced rate accommodations at our host hotel, the Embassy Suites. Reservations must be made by Friday, September 13, 2024.

I understand vending does NOT include entry into the general session during summit presentations UNLESS the summit supporter vending package was chosen.

This Agreement shall be effective upon my signature.
