Oil-Related Service Terms & Conditions

C.O.D. Policy (Cash on Delivery)

All oil-related services—including new oil delivery, waste oil disposal, garbage disposal, oil filtration services, and all trucking fees associated with these services—are C.O.D. Payment is due prior to VES’s arrival, upon completion, or by the Friday of the week the service is performed, depending on the agreement in place between VES and your firm.

A valid Purchase Order (PO) is required before any service is dispatched.

Purchase Orders & Payment Requirements

• A Purchase Order must be issued before scheduling.

• An invoice must be goods-received (GR’d) before work can commence (where applicable).

• All POs must be emailed to [email protected].

Payment Terms

• For projects exceeding $5,000.00, a 51% deposit is required before the start of work.

• The deposit must be received before mobilization.

• The remaining balance is due ON COMPLETION, unless otherwise agreed to in writing.

• Payments received after the agreed deadline will incur a 10% service fee unless covered under a formal service contract.

Discount Eligibility

To receive any automatic service discounts for oil-related services:

• A service agreement must be in place prior to ordering; and

• Payment must be made on completion to qualify for the 2% discount.

First-Time Customers & Emergency Services

• All first-time customers are C.O.D.

• All emergency services, trucking, oil delivery, oil pickup, disposal, and filtration work are strictly C.O.D.

• A purchase order is required for all emergency calls.

Accepted Payment Methods

VES accepts the following payment methods:

• ACH/EFT (preferred)

• All major credit cards (processing fees may apply)

• Electronic wire transfers

• Business checks

• Bank checks

Please confirm your preferred payment method before the project begins.

Additional Work, Labor, Materials & Insurance

This estimate does not include the cost of any additional work outside of the defined scope.

• Additional labor beyond what is outlined will be billed at a team rate per hour (a “team” consists of two technicians unless otherwise specified).

• Additional or unforeseen materials will be billed separately.

• Any permits, filings, or inspection fees are not included unless explicitly stated.

• If insurance coverage beyond VES’s standard policy is required, the additional cost will be added via change order or a revised quote, and work will pause until approval is received.

Project Details

Elevator / Escalator Work

During any oil-related service, the elevator unit will remain out of service for the duration of the project and will be restored to service upon completion.

Trucking Fees

• Trucking and delivery fees are based on a per-stop basis within a 30-mile radius of our warehouse.

• Locations outside the standard coverage area will be adjusted according to their territory.

Wait Time Charges

• Service includes up to 30 minutes of on-site wait time.

• After the grace period, wait time is billed at $225 per 30-minute increment ($450 per hour).

Quote Validity

All oil-related quotes are valid for 30 days from the date of issuance.
After 30 days, pricing and terms may be subject to change.

By submitting this form, you confirm that:

• You are an authorized representative of your company and have full authority to request and/or schedule this service for the property listed.

• If a ticket, request, or emergency dispatch is submitted outside of normal working hours, overtime rates may apply for any services rendered.

• You agree to all charges incurred as a result of placing a service request outside of regular service hours.
