BOOKING TERMS & CONDITIONS - PLEASE READ
1. BOOKING
A booking will only exist when we have received a completed booking form. The person completing the booking form must have the authority to do so and accepts the following conditions on behalf of the company and all group members. A deposit will not be required to secure the booking. The completed booking form is a legally binding contract between the company and WiseUp.
2. PAYMENT
An invoice for your event will be issued on or shortly after the date your completed booking form is submitted with the balance being due 8 weeks before your event date. For any events booked within 8 weeks of the event date our standard payment terms are 30 days from the invoice issue date.
Full payment for your event is required before the event date.
A 10% surcharge will be applied to any balance that is paid after the event date.
If payments are more than 2 weeks overdue, WiseUp reserves the right to charge late payment fees.
When booking you are advised to put the minimum number of expected participants on the booking form as this will be used to generate your invoice. If the number of participants decreases, you will still be charged for the number of participants on the original booking form.
If the number of participants increases, a separate top up invoice will be issued to reflect the additional participants. Please inform WiseUp of any increase in numbers at least two weeks prior to your event. If we are informed of an increase in numbers less than two weeks before the event, we reserve the right to refuse to accommodate the increase.
3. CANCELLATION
The effective date of cancellation is the day we receive written notice. Please check your company event insurance policy for potential coverage of cancellations.
Cancellation charges are as follows:
120-57 days before your event: 40%
56-29 days before your event: 60%
28-15 days before your event: 80%
14 days or less before your event: 100%
In all cases, WiseUp must be notified in writing at the earliest opportunity. The invoice for your event will be raised according to Clause 2 above.
4. PRICE INFORMATION
We publish our prices based on the current financial year in good faith. However, we reserve the right to amend our published prices.
5. CHANGES MADE BY US
Although we provide event details and prices in good faith at the time of booking, circumstances may require changes. These are usually minor, but we will inform you of any such changes as soon as possible. In the unlikely event that we must cancel or make significant changes to your booking, we will provide a suitable alternative. If a comparable alternative cannot be arranged, a full refund will be issued within 14 days.
Compensation for major changes will be provided as per the table below:
56-29 days before your event: 10%
28-15 days before your event: 15%
14 days or less before your event: 25%
This applies unless the change is due to circumstances beyond our reasonable control, including but not limited to war, riot, adverse weather, industrial dispute, government action, epidemic, disease, or natural disasters.
6. COMPLAINTS PROCEDURE
If there are any issues or concerns regarding your event, please contact WiseUp as soon as possible. Any claims or disputes must be received in writing within 14 days of the completion of your event.
7. PERSONAL PROPERTY/INSURANCE
Personal property remains your responsibility unless lost or damaged due to our negligence. WiseUp provides no personal accident cover and accepts no liability for lost or damaged items during activities.
8. PARTICIPANT CONDUCT & SUPERVISION
WiseUp staff are responsible for facilitating and overseeing all activities throughout the event. To ensure the safety and enjoyment of all participants, WiseUp operates a strict zero-tolerance policy regarding inappropriate conduct. Any participant who is, in the reasonable opinion of our staff, under the influence of alcohol or drugs, behaving in a manner that may put themselves or others at risk, or acting inappropriately towards staff, other participants, or property, will be immediately removed from the activity. WiseUp reserves the right to exclude any individual from further participation without refund should their behaviour be deemed unsafe, disruptive, or inappropriate. The client organisation is responsible for managing any subsequent disciplinary or welfare matters relating to their employees or attendees.
9. HEALTH MATTERS
The group leader is responsible for providing any relevant health-related information for all participants. All participants should be fit and able to undertake the activities and must follow the instructions of our staff. Any medical conditions should be disclosed prior to the event.
10. FIRST AID
WiseUp will follow the first aid procedures of the hosting venue, whether at a third-party venue or the client’s premises. A designated WiseUp staff member, trained in First Aid, will be on site to provide initial assistance. Any incidents will be managed in line with the venue’s or company’s established protocols.
11. SPECIAL REQUESTS
Please submit any special requests in writing. While we will make every effort to accommodate them, we cannot guarantee fulfilment of all requests, unless confirmed in writing.
12. MARKETING
Photographs and video footage may be taken during your event for training and development purposes and may occasionally be used for marketing and promotional purposes (e.g., website, social media, and printed materials). If your company does not wish for any participants to appear in such materials, it is your responsibility to inform us in writing prior to the event. Additionally, it is the company’s responsibility to notify WiseUp of any individuals who should not be photographed or filmed.
