We are seeking a highly organized and detail oriented Operations Assistant to support our internal systems, client delivery processes, and day to day business operations within a fast paced, high performance environment.

The Always a VIP Automated Client Attraction Experience
A done-for-you and coaching hybrid that helps coaches create automated systems for consistent client attraction. This experience includes strategy, funnel and ad build-out, email and text automation, and personalized coaching to help you attract and convert high-paying clients with ease.

The VIP Coaches Room
A membership community for coaches who want to scale with structure and support. Members receive weekly group coaching, access to a full course library of marketing systems and templates, and a private network for accountability and collaboration.

The Coach Resort CRM
A white-labeled, all-in-one business platform designed for coaches. It includes pre-built funnels, automations, and business templates that simplify client management and marketing, allowing you to scale efficiently and stay organized.


|YOUR ROLE|


As a company, our goal is to grow our offers with more clients, and further solidify our brand. We are laying the groundwork now to do so. This goal will require assistance with the delivery of our client's work. 


We are seeking your help with growing the efforts of our agency and maintaining the general ongoing services of the company.


You must have experience with funnels, ads, and automations in your business and feel comfortable learning and applying our unique philosophies with clients.


This position requires:


  • Availability for daily internal team communications

  • Availability for weekly, monthly, and quarterly team and client calls

  • Availability to set up funnels, automations, etc., averaging 50 hours a month

  • Response time expectations are within one hour during working hours

  • Working hours are flexible but need to be between 9am-5pm EST


Assisting our clients at a baseline will look like this:


ONGOING TASKS:


  • Updating marketing materials like funnels in GoHighlevel and similar systems

  • Creating and editing videos and static images for ad creatives

  • Creating copy for ads

  • Setting up automated workflows in GoHighlevel and similar systems

  • Create and update SOPs

  • Refresh funnels, automations, workflows, etc, for marketing events like challenges and webinars


PROJECT-BASED TASKS:


  • Assisting with funnel builds

  • Assisting with ad campaign management

  • Assisting with agency projects

  • Webinar support


To paint the picture of a ~potential~ work week for you:

Every Monday afternoon, we meet to review priorities for the week. You receive a clear list of tasks inside Asana and begin executing immediately. As you move through each task, you identify gaps, upgrade SOPs, and streamline processes so the backend consistently improves. When you notice opportunities to enhance efficiency, systems, or team workflows, you proactively recommend upgrades and implement them with excellence.

Note: We will train you in our frameworks and operations systems so you can complete all weekly tasks within the expected timeframe.


|WORK EXPECTATIONS|


This is a role with a flexible schedule with monthly deadlines for all clients


You are expected to have a strong internet connection, and a quiet place to work and take calls.


This role averages up to 50 hours a month

This is a contracted role, starting at $25/hr

Travel & meals covered for any in person days

We prefer at least 60% of these skills from our candidates, but you're welcome to apply even if you do not meet the requirements but have strong marketing experience:

  • Experience with Meta Ads
