Piece 1 - How does your inbox feel right now
Complete chaos - Hundreds (or thousands) of unread emails, no system at all
Manageable but messy I get by, but I waste time hunting for things
I've got some labels/folders A basic system exists but I haven't really used filters or triage
Pretty sorted Labels, filters working — inbox feels under control most days
Inbox Tamer - Be honest — this helps us figure out the right starting point for you.
Are you interested in building a knowledge base that works?
Yes but I'm pretty sure I want to ensure my information stays private - I don't want to train the public AI model
I am interested in a 'second brain' that allows a searchable archive of knowledge
When training a new person they could use this tool to ask lots of questions
I'm not interested in this feature at all
Notebooks in Gemini help you organize your chats and projects in the Gemini app, with the AI-powered research partner, NotebookLM, for easier learning and working.
Have you gone through your subscriptions and cleaned them up?
*
I just delete them as they come in or I ignore them until it's overwhelming
I've done some but not properly - the odd unsubscribe here and there, nothing systematic
Yes — I've cleaned it up Subscriptions are filtered, I choose what comes to my inbox
Inbox - subscriptions - this means actively unsubscribing from things you don't read, or filtering them to skip the inbox.
The aim is basically waking up to a sorted inbox - triaging your inbox is straightforward but takes a little time. You can do it at home with a template, or we work through it together in a workshop. I have tools to make it quicker!!
*
I'd need someone to walk me through it completely
I could do it but I'd need clear instructions If someone set up the template and showed me how, I'd get it done
I can do this myself - give me the document and I'll go through it
I want the tool to make it easier (for gmail)
The audit involves going through your regular senders and deciding on labels and filters for each one. This is how your emails will 'skip' the inbox or be labelled urgent!
Do you currently have Google Workspace set up?
*
I really want Google Workspace set up through an Australian provider I can get help with (for no extra fees)
No — I use another email (Outlook, Hotmail, Yahoo, etc.) - not a business email, just a personal account I use for work
Yes I already have Google Workspace
Did you know that having a professional email address lessens your emails being marked as junk or spam - just because you have a domain name doesn't mean you have to have a website:)
Piece 2 - AI & SOPS - Do you have any written procedures for your business — even rough ones?
*
Everything is in my head Nothing written down at all
A few things noted here and there Scattered — email drafts, notes app, maybe a doc somewhere
Yes — I have a working SOP document A Google Doc (or similar) I actually add to and use
SOPs (Standard Operating Procedures) can be as simple as a Google Doc where you've jotted down how you handle FAQs or onboard a client.
Piece 3 - Calendar Harmony - How do people currently book time with you?
*
All manual Emails or messages back and forth to find a time
I have a booking link but it's not set up properly but anyone can book any time — no real boundaries
Yes — I have a booking system that works well - set available windows, link connected to my calendar
This is about whether you have any kind of automated booking link, or whether it's all done manually back and forth.
Piece Four — Task Management - How do you currently track your tasks and to-dos?
*
My head / sticky notes / scraps of paper No real system — things get forgotten or cause stress
A notes app or basic list I write things down but it's not connected to anything
Monday.com, Trello, Notion or Asana or a proper task board I have boards/lists and a workflow that mostly works
Trello is such a simple system to learn first! Its actually fun.
Would you be willing to writing down things that you do that drain you?
*
That sounds like too much effort right now I'd rather just get started on the tools
This is one of the most powerful things we can do together. We can spot what's repetitive, what's a drain, and what your Digital Twin should be doing instead of you. It doesn't need to be perfect, just honest.
Yes — I think that would really help I'd genuinely love to see where my time is actually going
This is one of the most powerful things we can do together. When we map out exactly how your day actually runs — task by task — we can spot what's repetitive, what's a drain, and what your Digital Twin should be doing instead of you. It doesn't need to be perfect, just honest.
Piece 5 - Your biggest pain points - What are the things that frustrate you most in your working day?
Answering the same emails over and over FAQs, pricing questions, the same enquiries on repeat pain-repetitive-emails
The back-and-forth of scheduling Finding a time, sending links, chasing confirmations pain-scheduling
Setting up new clients manually every time Creating folders, sending welcome emails, getting contracts out etc
Writing up meeting notes or summaries It takes ages and I never feel like I capture everything
Keeping track of what needs to be done Things fall through the cracks or live in my head causing stress
Recurring reports or admin that eats my time - regular tasks I do manually that feel like they should just happen automatically
Pick the ones that genuinely drain you — the stuff you'd happily never do again if something could handle it for you.
