Q1. How confident are you that your current treatment prices properly cover your costs, pay you fairly for your time and leave room for the business to grow? *

I mainly based my prices on what other therapists charge and haven’t worked out my actual costs.

I’m not completely sure what I should have in place.

I have some things sorted, such as insurance and basic policies, but I know there are gaps.

Most of my key compliance areas are covered, although there are one or two things I still need to review.

I’m confident that my insurance, policies, record keeping, consent, risk assessments and other key requirements are in place and reviewed regularly.

Q3: How clear are you about what your business needs to earn to be financially worthwhile for you?. How confident are you that the practical and legal side of your therapy business is properly covered? *

I don’t really know what the business needs to earn each month.

I have a rough idea, but I don’t regularly work with the numbers.

I know my income target and have a reasonable idea of how many clients/treatments I need to reach it.

I understand my income target, costs and capacity, and use those figures to make business decisions.

CPD & Development Planning

Q4. How planned is your ongoing professional development over the next 12 months? *

I tend to choose CPD as I come across something interesting, without much of a plan.

I have a few ideas about what I’d like to learn, but nothing mapped out properly.

I have identified the main areas I want to develop and have some CPD planned around them.

Q5. If a potential client found you online today, how easy would it be for them to understand what you offer and what to do next? *

They would probably need to message me to ask about availability.

Some of the information is there, but it isn’t complete, as I like to speak to the client first.

My main services, prices and booking information are clear, although there are still a few gaps.

A new visitor can quickly understand what I offer, who it is for, what it costs, what to expect and how to book.

Q6. How much control do you have over keeping in touch with people who are interested in your treatments or services? *

I mainly rely on social media and don’t really have an email list.

I have some email addresses, but I don’t collect them consistently or contact people regularly.

I actively grow an email list and send useful emails from time to time.

I consistently build my email list and use it to stay in touch with helpful, relevant information and offers.

Marketing Consistency

Q7. How consistent are you at letting the right people know about your treatments or services? *

I tend to post or promote things only when I remember or when bookings are quiet.

I do some marketing, but it’s quite stop-start and depends on how busy I am.

I have a few regular ways of promoting the business and use them fairly consistently.

I have a clear, repeatable marketing rhythm that helps me stay visible without having to constantly think of something new.

Q8. How clearly do potential clients understand why they should choose you rather than another therapist? *

I mainly describe the treatments I offer and haven’t really defined what makes me different.

I have some idea of what sets me apart, but I don’t communicate it consistently.

I’m clear about who I help and what makes my approach different, and this appears in some of my marketing.

My expertise, approach and ideal clients are clear throughout my marketing, and I’m building a reputation for a particular type of support.

Enquiry & Booking Experience

Q9. How easy is it for a new client to move from being interested in what you offer to actually booking with you? *

There is the need to message each other for information, and the booking process can involve a lot of back and forth.

I have a basic process, but there are still a few points where clients can get confused or prevent the client from booking and I don't like to chase them.

Most of the journey is straightforward, with clear information and an easy way to book.

The whole process is clear and simple, from first enquiry through to booking, confirmation and knowing what happens next.

The Treatment Experience

Q10. How deliberately have you designed the experience your client receives before, during and after their treatment? *

I mainly focus on delivering a good treatment and haven’t really thought about the wider experience.

I do a few thoughtful things for clients, but it isn’t particularly planned or consistent.

I’ve deliberately thought about the client journey, and have several things in place to make it feel professional and personal.

I’ve created a consistent client experience from arrival to follow-up, with clear touches that help clients feel looked after, valued and confident about returning.

Aftercare & Follow-Up

Q11. What happens after a client leaves their treatment with you? *

Usually nothing unless they contact me again or book another appointment themselves.

I sometimes send aftercare or check in, but it depends on the client and I don’t have a consistent process.

Clients receive appropriate aftercare and I usually follow up or make the next step clear.

I have a consistent follow-up process that provides appropriate aftercare, keeps the client feeling supported and makes it clear what they should do next.

Consistency & Personalisation

Q12. How well do you use what you learn about each client to personalise their future experience with you? *

I tend to start fairly fresh each time and don’t have a consistent way of remembering individual preferences.

I remember some client preferences and needs, but it depends on what I happen to recall.

I record relevant preferences and usually use them to adapt things such as communication, comfort, appointment arrangements or follow-up.

I have a reliable way of recording and using individual preferences and needs so each client receives a consistent but genuinely personalised experience over time.

Q13. How consistently do clients return to you for further treatments? *

Most clients book once or occasionally, and I don’t really have a process for encouraging them to return.

Some clients come back, but it tends to depend on them remembering or deciding to rebook.

I regularly encourage appropriate rebooking and have a good number of returning clients.

I have a clear, consistent approach to rebooking and client retention, and repeat appointments form a dependable part of my business.

Q14. How consistently do you collect and use client reviews? *

I have a few reviews, but I rarely ask for them and don’t have a system.

I ask occasionally, usually when I remember or when a client says something lovely.

I regularly ask satisfied clients for reviews and use them in my marketing.

I have a consistent review process, make it easy for clients to leave feedback, and actively use reviews to build trust with future clients.

Referrals & Recommendations

Q15. How deliberately do you encourage happy clients to recommend you to other people? *

I rely mainly on word of mouth and hope clients will mention me to others.

I occasionally encourage recommendations, but I don’t have a consistent approach.

I regularly make it easy for happy clients to recommend me and referrals bring in some new clients.

Referrals are a deliberate part of my client-retention strategy, with a clear and consistent way of encouraging and tracking recommendations.

Client Lifetime Value

Q16. How well do you understand the longer-term value of a returning client to your business? *

I mainly think about the value of each individual appointment rather than what a client may be worth over time.

I know returning clients are valuable, but I haven’t really worked out what that means financially.

I have a reasonable idea of how often clients return and what an average client may spend with me over time.

I understand the lifetime value of a client and use that knowledge to make decisions about retention, follow-up and how much effort I put into keeping good clients coming back.
