Track Change Orders Clearly (in Red)
Changes happen on every project. Documenting them correctly prevents disputes and keeps budgets transparent.
Action Items:
✅ Enter all change orders directly into your Detail Page under
each trade section in red text for easy visibility.
✅ Add a Change Order Log table with: CO # / Description / CostImpact / Schedule Impact / Approved By / Date.
✅ Once approved, export the updated section or entire Detail Page as a “Revised Exhibit A – v#” for record keeping.
✅ Store signed copies of each CO in /Contracts/Change Orders/ inside your Digital Home Manual.

✅ Review the CO Log at every project meeting to confirm all adjustments are current.
Use QR Code Access on Site
QR codes keep your team and subcontractors aligned without constant printing or email confusion.
✅ Upload the most recent Exhibit A PDF to a shared cloud folder (Google Drive, Dropbox, etc.).
✅ Generate a QR Code that links directly to that file.
✅ Print and post the QR on the jobsite (entry gate, PM board, or inside the electrical panel door).
✅ Label it clearly: “Scan for Latest Detail Page & Project Specs.”
✅ Replace the QR only when a new version of the Detail Page is issued.
Organize Warranty & Maintenance Information
Warranty and maintenance organization protects your investment and simplifies future service calls.
✅ Create a Warranty & Maintenance section at the end of your Detail Page.
✅ For each system or product, list: Warranty Term / Coverage / Claim Process / Maintenance Interval / Contact.
✅ Include links to manufacturer registration pages and upload digital copies of receipts.
✅ Set calendar reminders for maintenance tasks (filter changes, sealant checks, etc.).
✅ Keep a backup copy in your Digital Home Manual > Maintenance Folder.
Field Compliance & Communication
Your Detail Page holds every spec—make sure it’s followed in the field.Project managers should use it to verify work and communicate updates through the proper chain of command.
✅ Add Quality Control (QC) Checkpoints under each trade section (e.g., “Verify grout joint width = 1/8”,” “Confirm trim paint sheen = satin”).
✅ Require field staff to log photos of completed QC items in the Field Progress folder.
✅ Communicate corrections through the GC or PM, not directly to subcontractors.
✅ Keep meeting notes tied back to the affected section of the Detail Page.
✅ Review QC and photos weekly to ensure compliance before payment.
Close-Out & Permanent Record
Once the project is complete, your Detail Page becomes part of the home’s permanent digital manual — a reference for warranty, resale, and future remodels.
✅ Finalize the as-built version of the Detail Page.
✅ Add final paint codes, stain formulas, fixture model numbers, and serials.
✅ Delete old notes and highlight “As-Built Verified” at the top of the file.
✅ Export a clean Close-Out PDF labeled Detail Page – As-Built – [ProjectName] – v#.
