The Contractor Checklist

Template Master Class

Learn It and Log It Series — Building Your Master Project File

(A Five-Part Homeowner Education Series)

Setting Up Your Google Account & Access

Objective:

To ensure every homeowner begins with a dedicated Google Account used only for their home project — keeping all files secure and shareable.

Learn It:

Your Google Account becomes the command center of your project.
It holds contracts, photos, design files, and templates — all synced with your Digital Home Manual.

Keeping everything under one email prevents lost documents and simplifies team access.

✅ Create or sign in to your Google Account dedicated to your home build.

✅ Visit Google Drive → New Folder → “Your Home Manual”.

✅ Share it with:

  • Your project manager

  • Your contractor

  • [email protected] (optional support)
✅ Copy the folder link into your Word-based Home Manual for quick access.

Tip: Use a naming format like “[LastName] Home Build – [City]” for consistency.

Downloading Your Templates

Objective:

To walk homeowners through downloading the provided Word and Excel templates into their personal Drive and logging them into the manual.

Learn It:

Templates form the bones of your system — Detail Page, Purchase Order Sheet, Subcontractor Bid Tracker, Critical Issue Sheet, etc.
Each is editable, downloadable, and meant to be stored in your Drive and linked to your Word Manual.

Log It:

✅ Download each template from your class portal.

✅ Move them into your Home Manual → Templates folder.

✅ Rename them with your project name (e.g., Purchase Order Sheet – Smith Residence).

✅ Link each one to your Word Manual using “Insert → Link.”

✅ Test every link to confirm it opens.

Tip: Keep the originals clean. Work only in your personalized copies.

Organizing Your File Structure

Objective:

To help homeowners create a consistent folder structure inside Google Drive that mirrors the digital manual.

Learn It:

Your folder structure should be simple enough for anyone to navigate.
Everything has a place — and that place matches your manual’s table of contents.

Log It:

✅ In Google Drive, create folders such as:

  • 📘 Architect & Design Files

  • ⚙️ Construction Docs & Permits

  • 💰 Budgets & Estimates

  • 🧱 Subcontractors & Bids

  • 🧾 Receipts & Warranties

  • 📸 Before / After Photos

✅ Add a Templates Folder for copies of all standard forms.

✅ Link each top-level folder to the manual’s corresponding page.

Tip: Your goal — when someone opens your manual, every file is two clicks away.

Taking & Uploading Before Pictures

Objective:

To document starting conditions for transparency, reference, and future resale value.

Learn It:

Before photos aren’t just memories — they’re visual documentation that protects you and your contractor.

They show progress, verify warranties, and capture details before walls are closed up.

Log It:

✅ Create a folder called Before Pictures inside your Drive.

✅ Take photos of every space, lot condition, or existing structure.

✅ Rename them clearly (e.g., Kitchen_Before_10-2025).

✅ Upload them, then insert the folder link into your Word Manual under “Before Photos.”

Tip: Add captions or brief notes under each photo (like “existing drain location” or “demo needed”).

Building the Master File System

Objective:

To tie everything together into one living, searchable, shareable project hub.

Learn It:

The Home Manual is not just a set of folders — it’s your home’s digital archive.

Every new file, photo, contract, or update gets logged once and stays organized forever.

Log It:

✅ Add your top-level Drive link to the cover page of your Word Manual.

✅ Create a short guide inside called “How to Use This Manual”.

✅ Add shortcuts to the most-used files (Purchase Orders, Detail Page, Critical Issue Sheet).

✅ Confirm sharing settings are “Anyone with the link → Viewer” for safe access.

✅ Bookmark your Drive folder in your browser for quick daily access.

Tip: Think of this system as your “digital blueprint” — the foundation for your future home maintenance and remodels.

Thank you for completing this Session!

Key Takeaway

Your Digital Home Manual is the heartbeat of your project — it connects your templates, photos, contracts, and communications into one easy-to-find system.

By setting it up correctly now, every future task — from budgeting to warranty tracking — becomes simple, searchable, and stress-free.
