If accepted, you will receive a Square Invoice from Virginia Market Collective (Please allow within 3-5 days for processing and invoicing). Once the invoice is paid, your spot will be secured!
Invoices are set as due by the day before each event. Spaces will be The space is available as long as the invoice is valid. We recommend closing out the invoice as soon as possible to secure your spot.
Spots will be assigned to vendors based on product selling and time invoices are paid. SPOTS WILL FILL STARTING FROM BACK TO ENTRANCE. ALL FOOD VENDORS WILL BE ASSIGNED TOWARDS THE BACK TO BRING CUSTOMERS FULLY THROUGH THE ENTIRE LOT. FASTER INVOICE IS PAID, THE CLOSER YOU WILL BE TOWARDS THE FOOD TRUCKS.

TERMS AND CONDITIONS
By participating in a Virginia Market Collective event, you agree to all of the terms outlined below.
Vendor Fees
All vendor fees are non-refundable and non-transferable for any reason, including but not limited to:
Weather-related issues.
Scheduling conflicts.
Any other issues outside of the organizer’s control.
Inclement Weather Policy
For the safety of all involved, including your products:
Events may be cancelled if there is:
A 70% or greater chance of rain predicted for 50% or more of the event day
Sustained winds of 15 mph or higher
Decisions will be made based on official forecasts and communicated promptly. In the event that the event is canceled because of weather, the vendor fee paid will be used towards another popshop and you do not need to fill out another application.
Setup & Breakdown
Setup begins at 8:00 AM - 9:30 AM
All vehicles must be out of the event area by 9:50 AM
Vendors must be fully set up and ready to go at least 15 minutes prior to event opening
Vendors may not begin breakdown before the official closing time unless there is an immediate emergency in the event area.
All vendors and products must be cleared out of the area by 3:50pm.
On-Site Requirements
No access to electricity will be provided
Tables must be staffed at all times — no unattended displays
Tents are required to be properly weighted with at least 40 lbs per leg
All vendor spaces are outdoors — come prepared for weather conditions
Space Assignment
Vendor spaces will be assigned by the event organizer based on category layout and logistics
Space assignments are final and non-negotiable
Conduct & Guidelines
The organizer reserves the right to reject or expel any vendor at any time, for any reason, including:
Violations of event rules and guidelines
Causing disruption to other vendors or attendees
Unprofessional behavior or poor conduct
